This page is a customer-friendly summary of the supplied rental agreement (version 4.0, updated April 8, 2026). Your completed rental agreement contains the full conditions and any agreed changes.

Booking & security deposit

Your date becomes reserved after Five Star Majestic confirms the booking and receives a security deposit of $100 or 50% of the total rental fee, whichever is greater. The deposit is held separately under the agreement to cover the date and possible cancellation, damage or cleaning charges.

The security deposit is refundable subject to the agreement and applicable deductions. It is not automatically treated as a down payment toward rental fees in the website estimate.

Rental period & payment

The agreement covers the specified event date for a maximum of 24 hours, unless extra days are arranged. All remaining rental balances are due in full at delivery, before setup.

Cash, checks, credit cards and debit cards are listed for booking deposits. Checks are not accepted on delivery day or within 15 days of delivery. Delivery-day balances can be paid with cash, credit card or debit card. The supplied agreement lists a 3% surcharge for credit or debit card payments. Your final payment terms are confirmed with the booking.

Delivery, setup & pickup

Local delivery, setup, teardown and pickup are included with qualifying rentals. Extended-distance delivery or special site conditions may require additional fees, confirmed with your quote. Setup and pickup windows depend on the size and complexity of the installation.

Equipment must be accessible at the agreed pickup time. The agreement provides for late-access and additional rental charges if pickup cannot take place as scheduled.

Site preparation

Provide a level, clear setup area with suitable access. Identify underground utilities, sprinkler lines, obstacles and venue restrictions. Tell us about gates, stairs, limited parking or long carry distances. The renter is responsible for necessary permits or permissions, including at parks and public venues.

Equipment responsibility & damage

Inspect equipment at delivery and report any concerns immediately. Use it as intended and follow the company’s instructions. Protect rentals from misuse, stains, grills, open flames and other sources of damage. Do not change the installed equipment or its anchoring without the team’s direction.

Damage must be reported within 24 hours of its occurrence or at pickup. Repair, replacement and additional cleaning costs may be deducted from the security deposit as described in the rental agreement.

Weather & tent safety

Outdoor tent installations depend on weather and site conditions. Our team may adjust, postpone or decline installation when conditions cannot safely support the equipment. Tents are not storm shelters; guests must move to appropriate shelter during severe weather.

The agreement has specific weather-related rescheduling and refund conditions, including possible rescheduling within six months. Those conditions and the company’s event-specific decision apply. Weather does not automatically create a right to a full refund.

Cancellations

  • More than 30 days before the event: the agreement provides for a full refund of the deposit and prepaid rental fees.
  • 20–30 days before the event: 50% of the total security deposit is refundable; rental fees paid in excess of the deposit are refundable. A date change makes the total payment nonrefundable under the agreement.
  • 1–19 days before the event: no refunds; a date change may be requested, with the payment remaining nonrefundable.
  • Event-day cancellation or no-show: no refunds, and the security deposit is forfeited. Additional waiting charges may apply.

Deposit return

The deposit is returned after equipment pickup and return, less applicable deductions. The agreement allows a possible three-to-five-business-day delay for further inspection and provides for an itemized receipt for deductions.
